Applying for work
All applications for work as a student assistant are submitted centrally to the academic administration (to Minh Hang Le) (not to the respective department).
Applications refer to a work offer for one academic year (October to June) or for summer work (July to September).
Which documents must be submitted or the signing of the contract?
- Social Insurance statement (pension insurance no.)
- (Tax) Identification number (when working as a student worker; apply online at the Federal Central Tax Office; the SIS team will help with this)
- Current membership certificate of the health insurance company
- Completed staff questionnaire
- Information on additional employments
- Current membership certificate of the health insurance company application for exemption from compulsory pensions insurance when working as a Minijob
Where do I obtain my social insurance number?
- German pension insurance office (Deutsche Rentenversicherung) or when insured with a statutory health insurance fund.
- The international students will recieve support from the SIS Team when applying for this.
What income limits apply to me?
- Monthly income limit of 520.00 EUR when working as a Minijobber.
- Holiday payments must also be considered
Pension insurance for a “minijob” with an earnings limit:
- The contribution rate is just under 4% of earnings, with a minimum income of 175.00 Euro
- If the minimum income is not reached—for example, due to a reduction in hours—the contribution increases.
- If you do not wish to pay contributions, you can apply for an exemption.
What should be kept in mind when recording hours in HR-Works?
- The agreed-upon monthly working hours must be worked. The start and end of the workday must be recorded directly and digitally in HR-Works by logging in and out.
- Retroactive time tracking is possible for a maximum of 3 days.
- In exceptional cases, more than 50 percent of the agreed-upon monthly hours may occasionally be worked as overtime. The overtime must be offset in the following month by working fewer hours.
- Vacation periods must be entered into HR-Works; otherwise, the vacation entitlement will be forfeited.
- Work must be performed every month; months without work are only permitted if vacation time is requested for that month.
What should be observed in the event of illness?
- Notify your department head immediately, then:
- Report the absence/sickness via HR-Works; if necessary, upload a photo of the medical certificate.
- Be sure to select the correct type of sick leave in HR-Works.
- Continued pay is provided only if the requirements specified in the employment contract are met. The report in HR-Works is what counts here
What must be considered when ending a work contract?
- For the term of notice please consult the contract.
- Notice of termination must be submitted in writing to the (1) Department for Academic and Student Affairs, (2) Head of Department and the (3) Administration.
How do I receive my wages?
- The payment of wages shall be made into the service account.
- The wage is paid as a monthly constant rate including holiday payment. If too few hours are worked, the wage payment will be reduced.
- Upon request it is possible to transfer into the tuition account or to the private bank account.
- At the earliest the cash withdrawal or bank transfer of the wages can only be made from the 10th day of the following month at the administration reception.
- The pay slip can be found in the student pigeonhole in LÜP between the 10th and the 15th of the following month; cash payments at the reception of the administration. After the 15th of the following month, cash payments are only possible if the account balance is positive.
- The final calculation of hours according to the contract worked will be made at the end of the contract.
What to consider, when start in another job off campus?
- Before starting an additional employment, the Head of Student Employment, Minh Hang Le, must be informed.
What differences must be considered when working as a Student Employee?
- Wage must be higher than 603.00 EUR per month.
- Pension insurance contributions must be paid, possibly also income tax. Wage tax paid may be refunded if you file a tax return at the beginning of the new year.
- A maximum of 19.5 hours per week may be worked during the lecture period. Im the semester break also more.
